This policy explains what personal information Copping & Co collects when you contact us or engage us as your accountant, how we use it, who we share it with, and the rights you have over it. Copping & Co is the data controller for the information you provide to us.
Who we are
Copping & Co is a firm of ACCA qualified accountants serving clients across Essex, Hertfordshire and Cambridgeshire. You can reach us on 07830 034491 or at [email protected].
Information we collect
Depending on your relationship with us, we may collect:
- Contact details you provide through the enquiry form, email or phone — name, email, phone number, and the content of your message.
- Identification and verification details required under anti-money-laundering rules when you engage us as a client.
- Financial information needed to deliver the accountancy, tax, payroll or bookkeeping services you have asked us to provide.
- Correspondence and records of the work we carry out for you.
Why we use it
We process your information to:
- Reply to enquiries and provide information you have requested.
- Deliver the services set out in our engagement letter with you.
- Meet our legal and regulatory obligations, including those imposed by HMRC, Companies House, ACCA and UK anti-money-laundering legislation.
- Keep records of the work we have carried out.
Our lawful bases for processing are a mix of contract (to deliver our services to you), legal obligation (to meet HMRC and AML requirements), legitimate interests (to run our firm and respond to enquiries), and consent where you have given it — for example by submitting our enquiry form.
Who we share it with
We only share your information where we need to. That can include:
- HMRC, Companies House and other regulators, to file returns and meet our obligations.
- Trusted software providers we use to deliver our services, such as cloud accounting platforms and secure email.
- Our professional advisers, auditors and regulators, where required.
- Law enforcement or courts, where we are legally required to do so.
We never sell your data.
How long we keep it
We keep client records for at least seven years after the end of the engagement, to meet HMRC retention requirements and ACCA professional standards. Enquiry messages that do not lead to an engagement are kept only as long as needed to respond and then deleted.
Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the information we hold about you.
- Ask us to correct information that is wrong or incomplete.
- Ask us to delete information, where we are not legally required to keep it.
- Ask us to restrict or object to how we use your information.
- Withdraw consent at any time, where we rely on consent.
- Complain to the Information Commissioner's Office at ico.org.uk if you are unhappy with how we have handled your data.
To exercise any of these rights, email [email protected].
